Position Summary
Lightium seeks a highly organized, detail-oriented, and proactive Office Manager to support our dynamic team. This role is pivotal in ensuring operational efficiency and enhancing our innovative culture. The ideal candidate will have a passion for technology, a knack for organization, and the ability to thrive in a fast-paced environment.
Key Responsibilities
Process and Documentation Management: Create and maintain internal processes and documents, ensuring streamlined operations and clear communication with team members and stakeholders.
Executive Assistance: Provide administrative support to executives by handling scheduling, travel arrangements, and task management, ensuring efficient time management.
Administrative Lead: Own administrative and financial tasks, such as processing and tracking invoices, planning office supplies, and establishing effective filing systems to maintain effective day-to-day operations for the company.
HR Support: Aid HR in posting job vacancies, scheduling interviews, and managing the onboarding process for new hires, contributing to a seamless recruitment process.
Event Coordination: Organize company events, from internal team meetings to large-scale industry conferences, ensuring smooth planning and execution.
Marketing Assistance: Support preparing and distributing communication materials, contributing to brand consistency and effective communication.
Project Administration: Provide administrative management for large collaborative public-funded projects, ensuring compliance with regulations and managing collaboration with international partners.
What You’ll Bring
Experience: At least three years of proven experience as an Office Manager or in a similar role, with demonstrated success in managing office operations, especially in a startup environment.
Organizational Skills: Exceptional organizational abilities, with the capacity to think proactively, manage priorities, and optimize workflows in a fast-paced environment.
Communication: Strong communication and interpersonal skills, with the ability to interact effectively with executives, team members, and external partners.
Technical Proficiency: Proficiency in Microsoft Office and SharePoint, ensuring efficiency in managing digital and physical workflows.
Confidentiality: Ability to handle sensitive information with confidentiality, maintaining the trust and integrity of the organization.
Tech Savvy: A genuine interest in technology and a desire to contribute to a fast-moving, innovative environment.
Project Management: Strong reporting and documentation skills, with the ability to oversee large, long-term projects involving multiple team members.
Language Skills: Fluency in both German and English is required, and knowledge of French is a plus.
